As a business grows, storage can become a real problem. No one likes to see a cluttered office space, or filing cabinets overflowing. So what are the options in storage space?
If it is simply that the filing cabinets are getting too full, try adding an extra filing cabinet. One cabinet may not be enough though. In the event that an office space has several filing cabinets and there is no more room in the office space for anymore filing cabinets, adding an office space specifically to handle the company’s storage is probably a good idea. A room filled with filing cabinets gives a more professional feel then a company with filing cabinets overflowing in each office space. If a room exists already, but has become too small, try archiving. Decide on a time period, say one year, and move everything that is older then a year to a storage room. It could be a rented storage space or a room in the basement.
Not everyone wants to keep all that paper around. What can be done then? Scanning all the paperwork into a computer allows the files to be kept on a disk. Hard copies should be kept for a certain amount of time, but when the time comes can be thrown away. Disks though, can be kept indefinitely and accessed quicker and more accurately then their paper counterparts.
For a cluttered desk, there is nothing neater then a supply tray set up in a drawer. It can organize and hold pens, pencils, staples, paper clips and other little office space necessities. A tray can keep incomplete tasks and complete tasks neat so that a task does not get done twice. An in box and out box helps organize new items and items that need to go somewhere else.
In a reception area where magazines are kept, a wall magazine rack can make the reception area look tidy and organized while freeing up floor space for the chairs needed to accommodate more customers. If customers complete applications or paperwork right there in the reception area, a pen and pencil caddy could come in handy.
For an office space that uses multiple three ring binders, a desktop binder carousel can be neat and attractive. Wall shelves can add space previously unused. Books and binders, first aid kits and ink and toners can be kept neatly out of the way, yet within easy access.
For an office space that has large amounts of paperwork in use on a daily basis, a slide out file storage center can neatly keep the paperwork tucked away and easily accessible. It is not a question of whether the office space needs a storage area, but more a question of how much and what kind. Growing businesses may grow out of storage items before they are really given the chance to use them
There are so many different storage items to choose from it might be tough deciding what would be the best for the company. All companies need storage, it is just a matter of how much. |
