Office Space, Office Space Mail Room

Mail can be one of the most important item a business receives. The mail brings payments for products or services. It brings bills that need to be paid so that the business can operate. It brings supplies so that the tools are available to do the job. In short, without the mail, the business can’t run.

So the question is, should a business have a whole mail room or should the mail be handled in the reception office space? In a small business the mail can be handled in the reception area. One person can be designated to handle the mail or it can be given out to individuals. A large business is quite different.

In a large business it might be necessary to have a whole office space dedicated to being a mail room. The mail room may have small sorting stations so that the mail can be distributed appropriately. It can contain a mobile mail cart with all the necessary supplies needed for mailing items. In a very large business an employee might go to office spaces and pass out the mail for the personnel.

A small business may still have a need for mail supplies, but not necessarily a need for a whole mail room. Sometimes a virtual mail room is easier to maintain. Instead of receiving items through the postal mail it might be made available on the Internet. Instead of filling out paper applications, a customer might be able to fill it out online. This can save the company money as well. When an application is filled out, a customer expects a response. If the application is filled out online, a response can be given through email. This will save in stamps, envelopes, paper, and time.

If mail is handled in the reception office space, it should be understood who is responsible for passing out mail, receiving mail and sending mail. If this is not understood, mail could go unanswered, unsent, and unread.

If the company does not want mail to come directly to the office space, a post office box might be the answer. Designate one person to pick up and drop off. This will alleviate some the clutter in the reception area. If going to the post office and buying stamps is too much of a hassle, stamps can be purchased on the Internet.

What does the mail mean to the customers? If mail goes unanswered, and the customer has been waiting for a response, eventually the customer will lose faith in the company. Who can trust a company that can’t even answer their mail? If vital customer information leaks because of improper or neglectful mail practices, not only could the customer lose faith in the company, but they could be reported to the better business bureau. The customer could file complaints. The list of what could happen due to improper mail care is endless.

Mail is very important to the success of the company. Based on how much mail, the size of the company and the ease of keeping supplies, a office space mail room may be right for the company.
