Office Space, Multi-tasking in the Office Space |
 |
An office space can be used for so many tasks it can be dizzying. In a small office space, limited room make it impossible to have a piece of equipment for a single task. Not only does this limit efficiency, but it also takes up room that could be used for other tasks. What items can be used to maximize space and efficiency?
One of the most popular items is a three-in-one printer, fax, and copy machine. It is three machines that take up the office space of one machine. Not only does this provide a central location for three tasks, but it frees office space for other equipment and supplies. If the company does not use a fax or copy machine, then it may not be necessary to have a machine that performs all three tasks. Office space that is set up to receive customers and one that is set up for productivity can be a space consuming arrangement. If work is performed on a computer, it might be productive to set up a database on the same computer to input customer information so that the reception office space can double as the data entry office space.
Another item that is popular in businesses with small office space is a work station. This allows an employee to perform computer input, take notes and fill out forms, analyze data, answer phones, file paperwork and send faxes all from the comfort of their own desk. This can maximize a small office space and minimize time spent in waiting and walking to other locations or another office space.
If the company is a consulting or outsourcing firm, a multi-lined phone can be invaluable. This is providing that manpower is available to handle the volume of incoming calls. A multi-lined phone can be especially useful when checking on outsourced projects or consultations. The line with the customer can be put on hold while calling the other company or individual to get the status of the job. In this manner a customer receives immediate satisfaction. A company that has a single phone line may have to get important information from the customer and then hang up. Depending on the availability of the other company or individual it can take just a few minutes or it can take several hours.
Not only can an office space be maximized by multi-tasking, but it can also be maximized by smaller furnishings. Wall shelves can be added to empty wall space. They add functionality for the office space, and eliminate unnecessary furnishings. While that arm chair looks beautiful, if it is not being used it is just taking up valuable office space. All items in the office should be considered for usefulness to maximize a small office space.
To conclude, small office spaces necessitate grand ideas. Multi-tasking equipment and furniture, smaller furnishings and use of wall space, in addition to removing unnecessary furniture and items can maximize the effectiveness of a small office space. |
