Office Space, Group-Oriented Office Space

While many jobs involve individual tasks, some tasks must be performed as a group. Not every office space can function as a group-oriented office space. Some group oriented projects can be long-term or permanent, others can be short term or temporary. What things need to be considered when designing an office space geared toward group tasks?

The first thing to consider is the number of personnel who will be using the office space at the same time. If it will vary, base the design on the largest number of people who will use it simultaneously. If it will be one group at all times, it can be more specific to that group. As with an individual office space, the office space designed for a group should maximize employee comfort. This includes adjustable chairs, appropriate lighting, necessary supplies, and accessible amenities. With a variable group, there should be a place, such as a closet or storage room to place unused items during a long project. If it is a short project or simply a group meeting, this may not be necessary. Larger groups require more room, as do larger projects. Shorter projects and smaller groups require less room.

Another thing to consider is the equipment necessary for the group to perform. If all members require a computer, laptops would be ideal. However, if a computer is only necessary for one person or only for a short time, a stationary desk top permanently placed in the office space may be a cost-effective alternative. If the group will be faxing regularly, a fax machine may be placed in the office space. If it will not be something performed on a regular basis, the office space may simply have an out box to fax from a machine in another office space at a later time. One member of the group can be designated to perform this, or it may be a shared duty.

Finally, let's discuss supplies for the group-oriented office space. If all members will be required to write or take notes, ensure that the office space is stocked with enough supplies for the whole group. If it is only necessary for select members or one member of the group to take notes then it would not be necessary to have a large number of supplies in the office space. There should be an accessible filing system so that all members of the group can see all aspects of the project they are working on. If the group is to receive phone calls, there should be a table in the office space designated for phone calls. If the phone calls are going to be for teleconferencing, the phone should be placed centrally on the main table.

To summarize, a group-oriented office space has different needs then an individual office space. Things to be considered include the number of employees using the office space, the equipment needed to perform the task and the supplies necessary to perform the task.
