Office Space, Compatibility in an Office Space |
Most office space issues arise from incompatibility. Not employee incompatibility, but office equipment incompatibility. It is important to address issues of compatibility in the office space before any serious problems arise from it. An incompatibility issue could be with an office space of the same company or a different company. What are some possible issues?
First let’s talk about programs in the office space. If you frequently send program files from one office space to another office space it is important that the programs are compatible. It doesn’t help a business if one office space doesn’t have access to what the other office space is working on. There are many types of programs. Word processing programs and spreadsheet programs are used quite often. If one office space uses one brand of word processing and another office space uses a different type, the programs can be incompatible. One solution to this is a universal word processing program. Some word processing programs can be saved as other types of word processing documents in order to be accessed by other word processing programs. This allows one office space to send a file to another office space without the issue of incompatibility arising.
A way around the program compatibility issue is the option of posting the file on either an intranet or a private website accessible to all necessary personnel. One office space can upload the file to the website, while another office space can view it without deciding what program should be used to open the file. This will work providing both the viewing office space and the uploading office space has proper access to either the Internet or the intranet. Not every office space has an Internet connection and not every office space with an Internet connection has access to that Internet. Some businesses require a password to access the Internet. Be sure that the person who is supposed to see the document is actually able to see the document.
Another issue in an office space involves faxing documents. If the company faxes through the Internet not all fax machines are capable of accepting them. If the company is going to use an Internet fax, it might be a good idea to have a manual fax machine available in the event that the receiving fax machine cannot accept a document being faxed from the Internet. Even with a traditional fax machine problems could arise. For instance if the document is being faxed from a machine that shares the phone line, a call might interrupt it. If it is going to an office space that uses a shared phone and fax line it might not be set up to receive a fax. Ensure that these issues are addressed in both the sending and receiving office space before proceeding.
To conclude, office space incompatibility issues can be troublesome, but knowing the types of programs available and other options - such as web pages and intranet - and things to verify when faxing will minimize incompatibility issues in an office space. |
